Location: Topeka, KS
Work Schedule: Monday – Friday (8:00 a.m. – 5:00 p.m.)
Reporting Relationship: Executive Assistant and Manager, Office Services

Primary Accountabilities:

The primary objective of the Administrative Assistant/Receptionist position is the provision of effective and efficient receptionist and secretarial services which will assist in achieving KEPCo’s overall goals. These duties must be performed accurately and timely so that the operations of KEPCo run smoothly.

Required Qualifications:

  • Demonstrated experience of general office principles, including knowledge of phone techniques, office machine operation, and filing procedures.
  • Experience as a legal secretary is preferred.
  • Strong interpersonal communication skills and the ability to establish and maintain effective working relationships across all levels of KEPCo.
  • Excellent organizational skills, including multitasking, time management, and attention to detail.
  • Ability to communicate clearly and professionally through both verbal and written skills, including excellent grammar, spelling, and proofreading skills.
  • Proficient computer experience.
  • Ability to work independently and in team settings.
  • Ability to demonstrate poise, tact, and diplomacy with the ability to handle sensitive and confidential information and situations.
  • High School Diploma, or equivalent. An Associate Degree or completion of business school is preferred.

Major Duties:

  • Primary support for legal, regulatory, government affairs, finance, and accounting departments (currently 8 FTEs), as well as supporting the needs of the administrative department.
  • Answers the main phone for KEPCo in a friendly, courteous, professional, and prompt manner. Transfers calls as appropriate and fields messages accordingly.
  • Admits those with business at KEPCo, while delivering exceptional customer service assistance and providing a welcoming environment.
  • Processes incoming and outgoing mail and maintains postage account.
  • Assists with preparing and posting information on the authorized board of trustees portal and with other preparations for and follow up to board, committee, and annual meetings.
  • Assists KEPCo staff with data entry projects as required.
  • Reviews newspapers daily to clip and route articles pertaining to the electrical utility industry and related issues.
  • Assists with secretarial and clerical support and travel arrangements for staff as needed.

Physical Demands:

  • Ability to read computer screens, read and respond to email, and talk on the phone.
  • Ability to lift up to twenty (20) pounds.

Work Environment:

  • Professional and deadline-oriented environment in an office setting.
  • Continuous interaction with staff and members.
