Job Title: KFA Program Manager
Job Classification: Exempt; Full-Time
Work Schedule: As agreed and approved upon between employee and supervisor in accordance to normal operating hours of 8am-5pm, Monday through Friday.
Pay Range: $56,000-$67,000, based on experience
Reporting Relationship: Director, Kansas Fights Addiction
Supervises: None
Location: On-site, Topeka Office (In‑office for the first 90 days; consideration thereafter for hybrid of up to 2 remote days/week).
About Us:
The Kansas Fights Addiction (KFA) Program Manager joins a team responsible for supporting the Kansas Office of the Attorney General and the Kansas Fights Addiction Grant Review Board in achieving its vision, mission, and strategic priorities. This role provides daily assistance to the KFA program department and related areas, working with Sunflower and KFA staff, grantees, partners, boards, and stakeholders. The position collaborates with programming staff (VPs, Program Directors, and Grants Manager) and all foundation team members, while also performing other duties that provide essential support for the KFA Program.
Position Summary:
The KFA Program Manager offers comprehensive support to the KFA team and the Sunflower Foundation in managing KFA grants, including daily oversight, program development, and management. The Program Manager will have the opportunity to support the KFA grantmaking team in its priority areas, including due diligence, research, convenings, special projects, grants management, and administrative tasks.
Primary Responsibilities:
Program Management
- Serve as the primary programmatic manager for the responsive grant program.
- Develop relevant program reports, including application summaries, project evaluation, and estimated impact reporting, correspondence, and preparation of program materials, and assist with grant report documentation and general communications with grantees, partners, and stakeholders.
- Coordinate Request for Proposals (RFP) processes, including serving as a subject matter expert reviewer, overseeing the entire review process, scheduling reviewer meetings, managing reviewer contracts, invoices, reimbursements, and other related tasks.
- Support development and implementation activities related to funding strategic initiatives by actively participating in program-related meetings and completing necessary tasks and timely follow-up.
- Develop and prepare programmatic relevant materials and assist with board meeting materials and board meeting preparation.
- Assist the KFA program team with comprehensive research and analysis surrounding substance abuse and mental health services.
- Provide support on evaluation, learning, data collection, and analysis.
- Other special program-specific projects as needed.
Grants Management
- Works closely with the grants manager reviewing applications, data management, maintaining accurate records, tracking deadlines in Fluxx (our grants management system), and communicating with grantee organizations as needed.
- Review and analyze grantee progress reports for completeness, accuracy, and efficacy.
- Draft applicant and grant summary reports for reviewer and KFA board meetings.
- Manage the grant review process workflow, proofreading, facilitating review, and finalizing grant files and other materials, and preparing reviewer meeting documents such as the agenda, summary reports, etc.
- Develop and maintain the grant review process workflow, including tracking, monitoring, and adherence to deadlines.
- Monitor and update application information within the grants management system to ensure consistency, accuracy, and completeness for summary reporting.
Project Administration
- Provide logistical and administrative support for various KFA-related meetings, grant reviews, strategic planning, board meetings, etc.
- Ensure all materials created for the grant review process are accurate for the KFA board.
- Create and manage project timelines for convenings, internal team meetings, and retreats.
- Other administrative duties as needed.
Qualifications:
Required
- A bachelor’s degree from an accredited college or university in a related field, or equivalent education and/or work experience in substance use disorder, behavioral health, opioid, mental health, or public health field.
- Experience working in a grantmaking organization, foundation, or non-profit, preferred.
- Experience with Windows-based programs as well as the Microsoft Office package (Word, Outlook, Excel) and virtual communication platforms (e.g., Zoom); willing to learn new software/systems as needed.
- Detail-oriented and well-organized with strong time management skills: ability to successfully manage multiple projects to completion.
- Attention to detail and problem-solving, with demonstrated capacity to meet deadlines and commitment to customer service.
- Good written and oral communication skills.
