Receptionist/Secretary

Work schedule: Generally 8 hours per day per schedule, 8:00 a. m. – 5:00 p.m.
Pay Range: $18-20/hr; Based on experience.
Location: Onsite, Office - Topeka, KS

Position Overview:

The Receptionist/Secretary is responsible for greeting visitors and answering the telephone in a courteous, professional and timely manner. Providing secretarial services and other administrative or operational duties when needed.

Essential Functions:

  • Answering the telephone, transferring calls, tracking staff and taking telephone messages.
  • Greeting visitors, monitoring all individuals who enter and exit the building.
  • Opening and sorting of daily mail. Acceptance of incoming packages and notifying appropriate individuals upon receipt. Arranges for and assists with preparing forms for outgoing packages and pick-ups (UPS, FedEx, etc.).
  • Provides support for mail machine operation, including purchasing postage.
  • Ordering necessary forms, stationery, and other office supplies.
  • Typing and transcription as requested by staff.
  • Data entry/assist with membership database maintenance.
  • Copying and collating, assisting in all mailings as requested by staff.
  • Scheduling conference center meetings.
  • Other duties in support of staff and operations as assigned..

Qualifications: Knowledge, Skill and Ability:

  • High school graduate, preferably with business school or appropriate previous experience.
  • Typing skills - 50-60 WPM preferred. Proficient computer skills preferred, including experience with MicroSoft 365 or similar software including Word, Excel, and Outlook.
  • Skilled in working with professionals and general public.
  • Must do neat, accurate work and complete it on time to meet established deadlines.
  • Must treat much information received as confidential.
  • Must be mature, dependable, and able to assume responsibility.
  • Must have the ability to work with minimum supervision and have the ability to set priorities.
  • Must be able to communicate effectively. Pleasant phone voice, friendly disposition, helpful and patient with callers. Keep staff informed of calls..

Physical Demands:

  • Lift and move items up to thirty (30) pounds
  • Sit, stand and walk for extended periods of time
  • Ability to work on the computer for hours at a time and concentrate on detailed information
  • Bend, kneel and reach items with use of hands/fingers to handle or feel objects, tools or controls
  • Must be able to speak and listen effectively

Work Environment:

  • Professional office environment. Contact with medical office staff, physicians, attorneys and the general public. May deal with angry or upset people. Multi-task position requiring strong attention to detail.
