Title: Membership Coordinator
Job Classification: Part-Time [28-30 hours per week]
Pay Range: $22 per hour; as based on experience
Work Schedule: Regular business hours and as needed

Location: onsite office; Topeka, KS
Primary Accountabilities:
The Membership Coordinator is responsible for supporting the growth, engagement, retention, and overall satisfaction of members of the Kansas Dental Association. This position serves as a primary point of contact for member services and plays a key role in membership recruitment, database management, communications, event support, and member engagement initiatives.
The ideal candidate is highly organized, customer-service oriented, detail-focused, and passionate about supporting the dental profession and organized dentistry.
Major Duties:
Membership Services & Engagement
- Serves as the primary contact for member inquiries and provide exceptional customer service to dentists, dental students, hygienists, and other members.
- Processes membership applications, renewals, reinstatements, and updates accurately and timely.
- Maintains member records and ensures data integrity within the association management system (AMS) or database (Fonteva/Salesforce).
- Assists with implementation of membership recruitment and retention campaigns.
- Coordinates outreach efforts to prospective and current members.
- Monitors membership trends and prepare membership reports and statistics.
Communications
- Assists in developing and distributing membership communications including emails, newsletters, welcome materials, and renewal notices.
- Coordinates onboarding materials and orientation resources for new members.
- Supports social media and website updates related to membership programs and benefits.
- Promotes member benefits, programs, and services.
Event & Meeting Support
- Assists with planning and coordination of member events and programs, dental school “lunch and learns” and other events as necessary.
- Coordinates membership-related activities at association meetings and events.
- Provides onsite support for meetings and member engagement activities as needed.
Administrative Support
- Prepares reports, correspondence, spreadsheets, and presentations.
- Maintains organized electronic and physical files.
- Assists with dues billing, payment processing, and invoice tracking.
- Supports committees, task forces, and leadership groups related to membership initiatives.
- Performs other duties as assigned to support association operations.
Qualifications:
- Associate’s or bachelor’s degree preferred; equivalent work experience considered.
- Familiarity with membership-based nonprofit organizations including relevant experience in membership services, customer service, or administrative coordination preferred.
- Experience with association membership database systems (AMS) (Fonteva and Salesforce), preferred.
- Strong organizational and multitasking skills with attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and database/CRM systems.
- Ability to maintain confidentiality and professionalism.
- Strong interpersonal skills with the ability to build positive relationships with members, volunteers, and staff.
- Ability to work independently and collaboratively in a team environment.
Physical Demands:
- Ability to sit for extended periods of time.
- Ability to speak in-person or over the phone.
- Ability to read computer screens and mail for extended periods of time.
- Ability to unpack and move supplies up to twenty-five (25) pounds.
- Ability to drive an automobile.
Work Environment:
- Primarily office-based with occasional travel for statewide meetings, conferences, and events.
- Occasional evening or weekend work may be required during major events or membership campaigns.
- Ability to manage multiple priorities in a fast-paced professional environment.
