Primary Accountability:
The Office Manager is responsible for establishing and maintaining an effective and efficiently performing office by organizing and managing office operations and procedures at Northeast Texas Electric Cooperative (“NTEC”).  The Office Manager maintains supplies and manages internal Cooperative and Board communications. The Office Manager is also responsible for managing the day-to-day clerical human resources tasks and assisting the General Manager, as needed. This position requires excellent communication skills, organization, the ability to work with diverse personalities, attention to detail and the ability to make mindful decisions which benefit the Cooperative, staff and its members.
Major Duties:
  • Answers telephone calls in a prompt, courteous and efficient manner and provides employees, members of the Cooperative and consultants with excellent customer service which results in outstanding employee and board relations. 
  • Provides new employee orientation and ongoing feedback regarding performance achievements and/or opportunities for improvement.
  • Provides for the custodianship and protection of all member records, as well as other confidential records of the Cooperative.
  • Receives, organizes and prepares complete, accurate and timely presentations for disseminating to the Board during Board meetings and per the direction of the General Manager.  
  • Attends Board meetings, as well as other meetings as requested by the General Manager.
  • Continuously analyzes and evaluates workflow processes throughout the Cooperative including: office operations, technology, human resources and internal communications to identify areas of deficiencies.
  • Coordinates with the General Manager to develop and recommend training programs and continuing education opportunities for department personnel which will improve employee effectiveness.
  • Stays up-to-date on technological advancements within the industry in an effort to help educate staff.
  • Approves all office purchases and expenses in accordance with approved budgets.
  • Properly maintains assigned office equipment and ensures the work environment is organized to a high expectation.
  • Ensures that all data forwarded to other internal departments is consistent, prepared accurately, neatly and is delivered in a timely manner.
  • Understands and personally performs all duties in accordance with applicable policy as well as ensures adherence to such rules by all employees including reviewing staff time reports for accuracy.
  • Performs other duties as assigned or directed by the General Manager.
  • Bachelor’s Degree from an accredited college/university is preferred.
  • Minimum of three (3) years in a responsible supervisory position is required.
  • Basic knowledge in the area of human resources is preferred.
  • Ability to work independently, organize, monitor and adjust work as necessary to ensure accuracy and timeliness.
  • Ability to prioritize daily work and multi-task with minimal supervision.
  • Advance computer skills and knowledge; specifically, in regard to record keeping applications.
  • Advanced follow-up skills with the ability to maintain professional relationships with staff, members, Board members and consultants, including times during frequent demands.
  • Advanced communication skills, both verbal and written.
  • Knowledge of employee practices and related laws, regulations and standards is preferred.
  • Demonstrated ability to provide excellent customer service and support.
  • Ability to think innovatively and take initiative.
  • Ability to maintain confidentiality of information.
  • Ability to manage diverse staff, create and maintain a working environment conducive to effective and efficient operations.
  • Ability to work independently and in a team setting.
  • Detail oriented with a high degree of accuracy and thoroughness.

Physical Demands:
  • Ability to sit for extended periods of time.
  • Ability to read computer screens, mail and talk on the phone.
