POSITION SUMMARY:
The Kansas Medical Society Professionals’ Health Program (PHP) is hiring a full-time Services Coordinator. Under the direct supervision of the KMS PHP Program Director, this position provides support for the KMS Professionals’ Health Program (PHP), including word processing, filing, scheduling and coordinating schedules of PHP staff. Will also provide office services by implementing administrative systems, procedures and policies and partners with the director to monitor projects. May be required to prepare financial statements and work with the director on overall budget management. Thinks strategically and offers ideas and solutions rather than simply carrying out requests. Provides support to the Director and assistance to staff.

Minimum Skills Requirement:
  • Work requires an excellent command of the English language.
  • Must maintain the highest level of confidentiality.
  • Must have knowledge of office administrative procedures and knowledge of use and operation of standard office equipment at a level generally acquired through 3+ years related experience.
  • Must have strong computer skills in Microsoft Office, including Word, Excel, Publisher, PowerPoint and Outlook.
  • Must have high level of interpersonal skills to handle sensitive and confidential situations.
  • Work requires continual attention to detail, establishing priorities and meeting deadlines.
  • Must possess initiative, adaptability, time management, good judgment and the ability to multi-task.
  • Must exhibit professionalism with all communication and possess the ability to handle crisis calls with calm demeanor and empathy and appropriately direct the calls in a timely manner.
  • Must be able to function with little supervision and assume responsibility.
  • Ability to recognize and maintain appropriate boundaries.
  • Associate or bachelor’s degree preferred. Field experience will be considered.
Essential Functions:
  • Handle all confidential and non-routine information discreetly.
  • Contact new participants who are involved with toxicology screens and/or breathalyzer tests to provide education to new participants and re-educating participants on protocol of toxicology screens, breathalyzer tests, reporting meeting logs, education on OTC medications and the process of contracted companies.
  • Monitor contracted companies daily, Monday – Friday, for toxicology test results, breathalyzer test results, check-ins, missed tests, dilutes, tampering, waivers, interferences and notifications.
  • Communicate with contracted companies, as needed, for clarification of reports and other necessary communication in scheduling tests and reviews.
  • Prepare toxicology screen results and breathalyzer reports for the Kansas State Board of Healing Arts, testifying as needed or required.
  • Assure client records are kept in an orderly consistent manner and in accordance with state and federal laws.
  • Maintain information in share drive.
  • Provide administrative support to the KMS-PHP staff, including general correspondence, memos, charts, tables, graphs and reports in Word, Excel or other formats as directed.
  • Manage Program Director’s schedule and staff schedules, which may include rescheduling appointments when emergencies occur.
  • Act as a liaison with outside agencies and individuals, including the Kansas State Board of Healing Arts, Attorneys, treatment facilities, physicians, hospitals and other health care personnel.
  • Assist with complex activities such as company activities and conferences and PHP presentations and retreats.
  • Perform other duties as assigned.

  • Some travel and on-call time is required.
