Primary Accountabilities: The Office Manager will be responsible for multiple responsibilities, with the primary duties including financial accounting, invoicing, and financial performance tracking. Secondary duties include general office management, including facilities management, office administration, and client coordination. Major Duties: Company Accounting:
Conducts company and project analysis and reporting.
Coordinates and collaborates with the company’s tax account.
Responsible for Accounts Payable and Receivables.
Office Administration and Facilities Management:
Acts as the first point of contact for clients, contractors, and office visitors by phone, email, or in-person.
Coordinates with office staff to obtain necessary materials, tools, and supplies.
Coordinates and communicates with subcontractors to perform office and grounds maintenance tasks.
Human Resources and Marketing Support:
Coordinates and collaborates with the company’s marketing and human resources providers.
Researches markets, identifies potential clients, develops and enhances client relationships.
Coordinates benefits and policy options with health insurance providers.
Assists with development, review, and editing of company proposals.
Assists with project close-out tasks, including development of project description sheets.
Tracks and reports on local, state, and federal compliance guidelines.
Tracks project timelines.
Bachelor’s degree in accounting/finance.
Proficiency using QuickBooks software and Microsoft Office Suite.
Ten (10) years of progressively responsible experience in accounting, office management, and administration.

Ability to keep and maintain records, filing systems and make reports in a timely manner, as directed.

Ability to lift up to twenty-five (25) pounds with frequent lifting and/or carrying of objects weighing up to ten (10) pounds.
Finger dexterity, manual dexterity, alertness, precision, motor coordination, auditory discrimination and tactile discrimination.
Inside/indoor office environment which provides protection from weather condition, but not necessarily temperature changes.
Interaction with staff and customers.
