Job Title: Payroll and Administrative Specialist
Job Classification: Non-exempt, Full-time
Salary: $20-$24.50/hr - based on experience
Location: Onsite office location, Topeka KS
Primary Accountabilities:
The Payroll and Administrative Specialist is a professional position that is responsible for processing accounts receivable, service billing, product price changes, inventory receipts and other routine transactions, as needed. This position will also be trained and act as an Assistant Office Manager and will be responsible for additional duties as deemed necessary.
Major Duties:
- Manages bookkeeping, financial statements, payroll & taxes (state & federal) on behalf of DL Smith.
- Processes weekly payroll which includes administering all proper deductions.
- Maintains accurate account codes, completes financial transactions by accurately coding all revenues and expenses, preparing payments and deposits and obtaining authorizations.
- Studies costs and trends for assigned accounting area.
- Reviews all work for accuracy and completeness, following up on all details as assigned.
- Works alongside the Office Manager to ensure administrative and office functions of DL Smith Electric are efficient and complete.
- Performs general clerical functions which include scheduling, copying, faxing, data entry and filing.
- Answers incoming telephone calls for the purpose of screening and transferring calls, responding to inquiries and/or taking messages.
- Assists with on-boarding and processes new hire information.
- Perform additional duties as assigned.
Qualifications:
- Three to Five (3-5) years of accounting, administrative or related experience is required.
- Prior experience with accounting software systems is required.
- Knowledge of accounting principles and practices for reporting financial data is required.
- Prior Office Management experience with accounting knowledge is preferred.
- Advanced skill with accounting software and programs is preferred.
- Strong computer and word processing skills, in particular Microsoft Word, Excel and Outlook.
- Strong knowledge of spreadsheets and formulas.
- Ability to learn the procedures in processing and closing payroll.
- Ability to communicate clearly and professionally through both verbal and written skills.
- Ability to organize, multi-task, plan and set priorities with minimal supervision.
- Ability to work independently and in team settings.
- Ability to exercise good judgement with a strong attention to detail.
- Strong interpersonal communication skills and the ability to establish and maintain effective working relationships across all levels of DL Smith Electric.
- Demonstrated poise, tact and diplomacy with the ability to handle sensitive and confidential information and situations.
Physical Demands:
- Ability to sit for extended periods of time.
- Ability to read computer screens and mail.
- Ability to unpack and move supplies up to 10 pounds.
Work Environment:
- Professional and deadline-oriented environment in an office setting.
- Interaction with internal and external customers.
