Position: Administrative Assistant/Office Administrator
Work Schedule: Full-time; Monday – Friday; 8:00 a.m. to 4:30 p.m. (7.5 hour shift)
Location: Kansas Funeral Directors Association – 1200 SW Kansas Ave., Topeka

Kansas Funeral Directors Association (KFDA) is a statewide 501(c)(6) association representing Kansas funeral homes, funeral directors and embalmers. Our mission is to promote and support funeral professionals in Kansas. We are seeking a detail-oriented and proactive Administrative Assistant to join our team. The ideal candidate provides key administrative support and will play a crucial role in ensuring the smooth operations of our office. Administrative Assistant will handle administrative tasks, supporting members and maintaining effective communications with KFDA members, vendors and the general public. This position requires strong organizational skills, a high level of attention to detail, exceptional time management abilities and the ability to multi-task. The Administrative Assistant will streamline procedures to facilitate an efficient office that delivers excellent customer services to everyone who interacts with the association.

Main Responsibilities:
  • Administer front desk operations, including greeting visitors and answering phone calls with professionalism and courtesy.
  • Organize and maintain filing systems for both physical and digital documents to ensure easy access and retrieval.
  • Assist with vendor management tasks and maintain positive relationship with vendors and suppliers.
  • Support administrative functions such as preparing reports, handling correspondence and maintaining office supplies.
  • Work collaboratively and develop and maintain an effective and harmonious working relationship with KFDA members, vendors and the general public.
  • Ability to meet deadlines and assist with a variety of administrative support work.
  • Perform data entry accurately and efficiently to maintain up-to-date records.
  • Assist with proofreading documents to ensure accuracy and clarity in all communications.
  • Utilize QuickBooks for basic accounting and financial record keeping.
  • Maintain a clean and organized office environment by ensuring supplies are stocked and equipment is functioning properly.
  • Provide high-level customer support.
  • Assist with preparing meeting materials.
  • Responsible for designing and laying out publications and other promotional materials.
  • Assist with overseeing registration for continuing education programs, spring regional meetings, fall district meetings and annual convention.
  • Assist with updating and maintaining KFDA’s website and emailing KFDA members regarding meetings and events.
  • Assist with special mailings.
  • Assist with building operations such as collecting rental payments and contacting building maintenance contractors.
  • Perform additional job-related work as assigned.
Experience:
  • Proven experience in office management or administrative role is preferred.
  • Strong organizations skills and work ethic.
  • Familiarity with phone systems and basic troubleshooting techniques.
  • Proficiency with Microsoft Office applications – Excel, PowerPoint and Word.
  • Familiarity with Zoom, publication design applications and website maintenance.
  • Excellent communication skills, both written and verbal, with a focus on teamwork and collaboration.
  • Strong proficiency in data entry with high attention to detail.
  • Excellent time management skills with the ability to prioritize work effectively.
  • Familiarity with QuickBooks is preferred.
  • Strong phone etiquette and interpersonal skills for effective communication.
  • Ability to work independently and multi-task.
Required Qualifications:
  • High school diploma, GED, or equivalent.
  • One year or full-time equivalent work experience or education, or a combination of experience and relevant education that equals one year of full-time experience.
  • Demonstrated effective customer service, analytical or organizational skills.
  • Demonstrated effective interpersonal skills, with a precise command of grammar and correct use of English language.
  • Effective organization, time management and collaboration skills.
  • Bachelor’s degree or a combination of post-secondary education and additional administrative support experience equivalent to a degree.
  • Demonstrated effective interpersonal and communication skills.
  • Proven record of effective customer service, organizational and time management skills.
  • Demonstrated effective writing, editing and public relations skills.
Preferred Qualifications
  • Two years of experience providing administrative support or completion of a course of study at the postsecondary level.
  • Bachelor’s degree
Physical Requirements:
  • Ability to maneuver and lift items weighing up to 25 pounds.
  • Ability to work for an extended period of time at a desk.
  • Travel and work an occasional weekend or evening in conjunction with the KFDA’s annual statewide convention.
Salary and Benefits
Salary is based on qualifications and experience. Benefits include vacation and sick leave, paid holidays, health insurance and optional participation in Simple IRA.
