Compensation: Salary Grade 9 (Hourly Rate: $17.85 - $26.78)
Please note: the minimum hourly rate for this position is $17.87 (Approx. $37,128 per year). Target beginning rate is $22.32 per hour (approx.$46,425.60). Actual salary will be determined based on the candidate’s experience and education.
Location: Manhattan, KS Main Campus

Primary Accountabilities: Under the direction of the Chief Academic Officer (CAO), the Academic Support Coordinator performs a wide variety of complex and specialized academic support services with an expectation of resolving problems and making independent decisions. The coordinator relieves the CAO of routine procedural details while exercising independent judgment in initiating and coordinating day-to-day operations, which consist of providing support for academic affairs, including faculty and instructional staff; analyzes situations accurately and takes appropriate action in identifying problems and recommending solutions.

Primary Responsibilities:
  • Performs complex support services to the CAO, relieving the administrator of a variety of clerical, technical and administrative duties while exercising independent judgment in compliance with college policy and procedures and college accreditation requirements.
  • Composes correspondence, reports and other materials independently from written and oral instructions.
  • Supports academic affairs, including the department Deans, directors, coordinators, division chairs, faculty and instructional staff, as a point of contact for the academic department.
  • Assist the CAO with coordination of faculty loads, absences, conference/travel requests and reimbursements, evaluation processes, program reviews, and other documents to assure compliance with Association Contracts, accreditation requirements, and college policy and procedures;
  • Collect and compile statistical and financial data and other information for inclusion in grants and special and periodic reports; prepare reports as necessary; research information and establish appropriate formats.
  • Assists faculty in managing their departmental budgets and works closely with MATC staff to ensure that all assets, materials, supplies, etc., are properly managed and documented per college policy and procedures.
  • Assists LMS Administrator with instructional support within the learning management system to provide assistance to faculty.
  • Utilizes the various integrated software in performing the required duties of the position; including but not limited to maintaining documentation, resources, and curriculum/class scheduling for accuracy within the Jenzabar system, portal, website, learning management system, and Kansas board of Regents database.
  • Plans, organizes, coordinates, and participates in meetings, events, and activities as identified by the CAO, to include representing the CAO at various occasions.
  • Schedules and attends meetings as assigned and in some cases assumes responsibility for preparing agenda, recording proceedings of the meeting and distributing meeting minutes.
  • Coordinate with faculty and program Directors in various functions such as curriculum approval process, maintain and update information in relation to program advisory committee meetings, all in accordance with college policies and procedures and accreditation requirements.
  • Performs other duties as assigned.
Qualifications: 
  • Bachelor’s degree in business, secretarial science or related field.
  • Three (3) years of increasingly responsible secretarial or administrative assistant experience.
  • Experience in a post-secondary/ higher education institution preferred.
  • Experience with interpreting, applying and explaining laws, codes, rules, regulations, policies, and procedures.
  • Strong computer and word processing skills, in particular experience with database systems and computer applications, specifically Microsoft Office.
  • Communicate effectively both orally and in writing, type or input data accurately and at an acceptable rate of speed, and working knowledge of databases.
  • Ability to work independently, as well as in a team environment.
  • Understand and resolve complex issues, complaints or problems.
  • Ability to organize, multi-task, plan and set priorities with minimal supervision.
  • Ability to exercise good judgment with a strong attention to detail in setting priorities and organization of work load.

Physical Demands:
  • Ability to sit or stand for extended periods of time.

  • Ability to lift and move up to twenty-five (25) lbs.
  • Ability to work occasional evenings and attend events as required.
