Primary Accountabilities: The Event Coordinator is highly organized, detail-oriented, and is responsible for the planning, coordination, and execution of a variety of virtual and in-person events. This role oversees the entire event process from conception to completion, ensuring a seamless, quality experience for internal and external stakeholders. The ideal candidate is customer- and service-minded, is an enthusiastic self-starter, exercises superb judgment, and is focused on producing a timely and thorough work product.
Primary Duties:
Plans and coordinates overall event logistics for in-person member events and meetings, including venue selection, catering, and equipment setup.
Oversees day-of event set up and activities, ensures event staff and volunteers are updated on event timelines, roles, and responsibilities. Ensures objectives are clear and concise.
Organizes and executes all Zoom webinars, including scheduling, setup, and technical support during events.
Communicates event details meticulously and manages online presence, registration, maintenance, and post-event follow up for all in-person and virtual events.
Creates post-event reports and analytics to evaluate event outcomes.
Develops and manages event budgets, ensuring cost-effectiveness and adherence to financial policies. Collaborates with bookkeeping to process payables and receivables in a timely manner.
Works with marketing team to create event-related graphics and materials.
Stewards and cultivates relationships with all stakeholders.
Assists CLE and Member Services departments as needed.
Primary Skills & Qualifications:
Bachelor’s degree in marketing, business administration, communications, or other related course of study strongly preferred.
At least two (2) years of experience in event planning, event operations, or event support roles.
Excellent project management skills required to successfully plan, organize, and execute events.
Able to coordinate staff and volunteers and work productively with internal and external stakeholders.
Strong preference given to candidates with previous experience with event management, membership, or other types of CRM platforms.
Proficiency in Adobe and Microsoft Office Suite (Teams, Word, Excel, SharePoint, PowerPoint, Outlook).
Demonstrates excellent communication, interpersonal, and relationship-building skills to work effectively with diverse groups of internal and external stakeholders.
Able to work in a fast-paced environment and adapts well to changing needs; maintains professional demeanor.
Excellent analytical and problem-solving skills.
Proficiency in Microsoft Office.
Physical Demands:
Frequent periods of sitting, standing, or bending.
Must be able to lift or move objects up to 50 lbs.
