Work Schedule: 20 Hours, Monday-Friday, between 8:00 a.m. – 5:00 p.m.
Reporting Relationship: Director of Finance
Work Location: Onsite, Washburn University Foundation Building

Primary Accountability:
The Accounting and Fund Specialist position has the primary responsibilities related to payments to vendors, managing new and existing funds and reporting their balances to campus partners, performing various reconciliations, and preparing daily journal entries.

The work involves accounting, which requires significant attention to detail, including a high volume of routine tasks. The Accounting and Fund Specialist will work very closely with other Finance staff, those making the daily deposits, and the Gift Processing team. This role must establish and nurture effective, collegial working relationships with co-workers and university partners, representing the Washburn University Alumni Association and Foundation in a positive and professional manner.

Major Duties:
  • Be the initial point of contact for fund inquiries from staff or campus;
  • Process the monthly funds held billing from campus;
  • Execute and deliver monthly reports for non-scholarship funds;
  • Execute and deliver annual scholarship reports;
  • Create new funds in both the accounting and fundraising systems;
  • Record invoices into the accounting system for payment;
  • Draft daily journal entries to be entered in the accounting system;
    • Record cash receipts deposited;
    • Record gifts processed;
  • Perform reconciliations including:
    • Clearing account review;
    • Prepare monthly RE/FE tie out report;
  • Assist with annual financial statement audit preparation;
  • Provide backup support for the Senior Accountant in their absence; and
  • Work on special projects and perform other duties, as assigned.
Qualifications:
  • Minimum of two (2) years of accounting experience in a professional setting (college accounting coursework will be considered in place of experience);
  • Experience and knowledge of basic accounting processes;
  • Intermediate-to-advanced computer skills covering a variety of software including Microsoft products, specifically Word and Excel;
  • Positive, professional attitude and a willingness to learn new skills;
  • Strong communication and interpersonal skills;
  • Attention to detail with an ability to gather data, analyze information and prepare accurate reports;
  • Flexibility and ability to perform diverse tasks in a timely way;
  • Ability to maintain confidentiality;
  • Demonstrated ability to work independently and as a team member; and
  • Reliable and predictable attendance.
Physical Demands:
  • Ability to sit for extended periods of time;
  • Ability to read computer screens and mail; and
  • Ability to unpack and move supplies up to fifty (50) pounds (lbs).
Work Environment:
  • Professional and deadline-oriented environment in an office setting; and
  • Interaction with staff and campus partners including Deans and Department Chairs.
