Position Title: Facilities and Fleet Manager
Job Classification: Exempt/Full-Time
Work Schedule: Monday through Friday, 8:00 a.m. to 5:00 p.m.
Location: Prairie Band, LLC (Holton, KS)
Primary Accountabilities:
We are seeking a highly motivated and experienced Facilities & Fleet Manager to oversee the company’s fleet program and have responsibility for management of maintenance/upkeep of our local facilities. The ideal candidate is highly organized, detail-oriented, possesses strong communication skills, and has a proven ability to manage multiple tasks efficiently.
Major Duties:
- Facilities Oversight
- Develop and implement a comprehensive maintenance program for all facilities.
- Manage and supervise maintenance staff and contractors.
- Ensure compliance with all safety regulations and building codes.
- Develop and manage budgets for facility maintenance and repairs.
- Coordinate with other departments to ensure that facilities meet their needs.
- Conduct regular inspections of facilities to identify maintenance needs.
- Develop and implement energy conservation programs.
- Manage and maintain all equipment and systems, including HVAC, plumbing, and electrical systems.
- Ensure that all facilities are clean and well-maintained.
- Develop and implement emergency response plans
- Fleet Maintenance
- Develop and implement a preventative maintenance schedule for all vehicles.
- Coordinate repairs and maintenance with internal mechanics or external vendors, ensuring timely and cost-effective service.
- Maintain accurate records of all vehicle maintenance and repairs.
- Manage vehicle inspections and registrations.
- Ensure vehicles are clean and presentable.
- Vehicle Acquisition and Disposal
- Research and recommend vehicle purchases or leases based on company needs and budget.
- Manage the vehicle acquisition process, including negotiating pricing and coordinating delivery.
- Oversee the disposal of retired vehicles.
- Driver Management
- Maintain driver records, including licenses, certifications, and training.
- Monitor driver performance and address any issues related to safety or compliance.
- Develop and enforce driver policies and procedures.
- Fleet Tracking and Optimization
- Implement and manage a fleet tracking system (GPS or telematics) to monitor vehicle usage, driver behavior, and fuel consumption.
- Analyze fleet data to identify areas for improvement in efficiency and cost reduction.
- Optimize routes and schedules to minimize mileage and fuel costs.
- Budget Management
- Develop and manage the fleet budget, including forecasting expenses and tracking actual costs.
- Identify and implement cost-saving measures.
- Compliance and Safety
- Ensure compliance with all federal, state, and local regulations related to vehicle operation and safety.
- Develop and implement safety programs for drivers.
- Investigate and report on accidents involving company vehicles.
Requirements and Qualifications:
- Bachelor's degree in Facilities Management, Engineering, Logistics or a related field preferred.
- Minimum of five (5) years of experience in facilities management and three (3+) in fleet management or related field.
- Strong knowledge of building codes and safety regulations.
- Excellent leadership and management skills.
- Strong communication, negotiations and interpersonal skills.
- Ability to manage multiple projects and priorities.
- Strong problem-solving and decision-making skills.
- Proficient in Microsoft Office (Excel, Word, Powerpoint and Outlook) and facilities as well as experience with fleet management software and GPS tracking systems.
- Knowledge of vehicle maintenance and repair procedures.
- Understanding of DOT regulations and safety standards.
- Ability to analyze data and identify trends.
- Strong negotiation skills.
- Valid driver's license with a clean driving record.
